Transfer F/O Data

Transfer F/O Data is a part of Finance and is a process which allows the Finance team to perform all the functionalities those are required to be done after check-out. The invoices will be transferred in this module after Night Audit is run and all those who had checked out a day before, those Folio Invoices will be displayed here. You are also allowed to look for past Folios by the different search criteria provided in advance search and grid search.

In this module there are two tabs:

Tab 1 – Direct Invoice

Tab 2 – BTC Invoice

First we will talk about Direct Invoice which is Tab 1:

  1. Folios which are settled by the guest themselves will be displayed here. After Night Audit is completed, guest who have checked out a day prior their folio will be displayed here but you can search for past folios as well.
  2. In this page there are two action buttons; “Print Invoice” and “View Invoice”. First action button is for printing the Invoice again if required and second button is for viewing the invoice.

Now we will talk about BTC Invoice which is Tab 2:

  1. Folios which will be settled by the company are displayed in this tab. It is same like Direct Invoice, the guest who have checked out a day prior their folio will be displayed here but you can search for past folios as well.
  2. In this page there are three action buttons; “Print Invoice” , “View Invoice” & “Receive Payment”. First & second action button is same as Tab 1, third action button is for Receive Payment which means receiving payment from company for a particular invoice. Click on “Receive Payment” action button, a pop box box will open, select the payment mode and enter the amount, by default the actual amount will be shown but if lees amount is received from the company then you can edit and enter the amount received, after that click on “pay” button to settle the invoice.
  3. After full payment is received the third action button “Receive Payment” will get disabled.
